Time & Attendance - Attendance Settings

The Attendance Settings Card is integral to managing how the Time and Attendance system functions within Empeon Workforce. This Card encompasses a range of settings that dictate the display of information, determine feature availability, and establish guidelines for adding and reviewing time within employee time cards. Understanding these settings is crucial for optimizing attendance tracking and ensuring that the system is interacted with appropriately.

To view and maintain these settings, navigate to the Attendance section of the Company tab and select the Attendance Settings Card.

Within this Card, are the following settings and what they control:

  • Default Exclude Attendance - When this toggle is enabled, new employees added to Empeon Workforce will automatically be excluded from the Time and Attendance system. If this toggle is off, new employees will default to automatically being included. This setting is useful if most of your workforce does not use the Time and Attendance system, preventing them from being automatically registered when being added to Workforce. In these scenarios, for employees who need to be using time and attendance, there is a duplicate setting within the Employee Profile where this default can be overridden.
  • Auto Sync Clocks - For organizations using multiple time clocks, enabling this toggle grants all employees access to punch on any clock. If only certain employees should punch on specific clocks, this toggle should remain off.
  • Allow Drag Crossing Days - Enabling this option allows Workforce Users to drag and drop recorded punches between days within an employee's time card. This feature is useful for quickly correcting punches that were mistakenly applied to the wrong day, ensuring they are reassigned to the correct date efficiently.

  • Time Care Approval Required - If this is toggled on, each time card must be formally approved before attendance can be completed and submitted. This helps to ensure that all time entries are reviewed and confirmed for accuracy before payroll processing.
  • Use Schedule Lockout Rule - This is a setting that is only applicable for organizations using Empeon's Advanced Scheduling Module. When enabled, it restricts employees to punching in or out only within the time frames defined by their assigned schedule, ensuring adherence to their scheduled shifts.
  • Show Pay Details in ESS Time Card - This enables a "Pay Details" button available within the ESS Time Card for employees to see how their recorded punches are being paid out.

  • Allow Manual Punches - Toggling this setting on turns on the feature within the attendance system that allows employees to be able to manually enter punches within their ESS Time Card without an approval process. This toggle is only turning on the feature within the time and attendance system to make it available for use. To grant employee's access to be able to use this feature and manually enter and edit punches withing their ESS Time card, there is duplicate setting within their Employee Profile that must be toggled on. Please also note, that if manual punches are enabled for an employee, it will override any previous permissions allowing them to request Missing Punches through Empeon's Request & Approvals feature.
  • Punch Review Early/Late Punch Margin - For employees assigned a Schedule Pattern (Basic Scheduler) or Shift Schedule Pattern (Advanced Scheduler), these fields define the time window allowed around their scheduled punch time. Punches outside this margin will be flagged during the Punch Review process before submitting attendance to payroll. For example, if 30 minutes is entered in both fields, punches made more than 30 minutes before the scheduled start time or 30 minutes after the scheduled end time will be flagged within the Punch review screen.

To adjust any of these settings found within the Attendance Settings Card, click the "Edit" button to manage these settings.
