Reports in Empeon Workforce

Empeon offers a variety of report options aimed to help organizations analyze their payroll, HR, and other workforce data. Reports can be run and shared in several ways, making them accessible across relevant Workforce Users and external parties.

Reports are grouped into two categories: Standard Reports and Live Reports. Both categories provide reports that offer key data insights into various aspects and features within the system. Standard Reports are typically linked to system actions or processes, while Live Reports focus more on data that has been entered within the system.

This article explains the basic navigation of the Reports tab within Empeon Workforce and outlines how various reports can be processed and shared. Understanding the layout and core functions of this tab is essential before working with reports.

Empeon Workforce: Reports Tab

The Reports tab serves as the central location for accessing, managing, and running reports in Empeon Workforce.

Reports 1-1

The Reports tab is separated into two main sections: Reports and File Room. The Reports section is the area where Workforce Users can run reports privately to themselves and publicly to other Workforce Users within the system. The File Room on the other hand is where Empeon makes reports available, which typically include reports associated with payroll and taxes.

On Demand vs. Scheduled

The Reports section is where both Standard and Live Reports can be processed. This section is broken up into two tabs: On Demand and Scheduled. The On Demand tab displays a history of reports that have been run manually and these reports are organized into two folders:

  • My Reports – Includes reports run by the logged-in Workforce User that were marked as "Private".
  • Shared Reports – Includes reports run by the logged-in Workforce User that were marked as "Public" or were shared by other Workforce Users.

Any report run on demand, whether Standard or Live, will appear here as a record of it being generated. It also provides the ability to re-run the report if needed. Each report displays key details such as the Report Name, the Report Type, the Visibility as to whether the report is public or private, and the date the report was last run.

Hovering over the run date reveals which Workforce User last ran the report, which can be especially helpful for shared reports initiated by another User. There are also options within the three-dot menu for each report that has been generated to DownloadEditClone or Delete.


The Scheduled tab is structured very similarly, only it displays all reports that have been configured with a recurring schedule. These reports include reports initiated by the logged-in Workforce User and any reports set up with a schedule that have been shared by other Workforce Users.

Reports 2-1

Key details on this tab include the columns for Delivery Method and Schedules, which indicate how and when each report is delivered based on its schedule frequency. For reports that have been scheduled to be sent via Email, there will also be an option to view the Email Recipients.

Email Recipients

Scheduled reports delivered via email are the only method through which reports can be sent to individuals who are not Workforce Users within Empeon Workforce. If a non-Workforce User needs to receive a report, their email address must first be registered in the Organization Master Portal under the Email Recipients section.

Reports Email recipients

Once registered, their email will be available to select when scheduling a report for email delivery. This can be a useful solution for third-party professionals, such as a CPA or business advisor, who need access to reports without requiring access to Empeon Workforce. To register a new email, simply click "Add recipient" on this screen and enter the name and email of the recipient.

Delivery Methods

For reports processed on demand, the report is available for immediate viewing and download. If an "On Demand" report should be accessible to others within the organization, it should be marked as "Public". Otherwise, Delivery Method primarily refers to scheduled reports, determining how they are delivered to their designated recipients. 

There are three Delivery Methods to consider:

  • Email - Sends the report to designated recipients via email. Recipients can include Workforce Users and non-Workforce Users, provided that their email address is registered under Email Recipients in the Organization Master Portal.
  • FTP - Sends the report to a designated server, either hosted within the organization or by a third party. This method provides a more secure way to transfer reports (compared to email).
  • File Room - Posts reports to the File Room, a section within the Reports tab of Empeon Workforce. Only Empeon Customer Support has the ability to schedule reports to be made available here. It is primarily used for payroll-related reports and tax documents. To have additional reports posted, contact Empeon Customer Support.

File Room

As alluded to in the previous section, the File Room is where payroll-related reports are produced associated with each payroll batch that is processed. It is also where applicable tax documents are made available as well.

File Room

The File Room is organized by check date. Common payroll-related reports that may be available associated with each check date are:

  • Checks - This lists the individual check stubs for each check that was processed.
  • Check Register -  Lists each check number along with the associated amounts and the bank account from which the checks were drawn, providing a more summarized view of the payments.
  • Payroll Register - Breaks down each Earning, Deduction, and Tax Code with their corresponding amounts for every individual check processed.
  • Payroll Summary - Displays the total payroll liability across all checks, including cumulative totals for net pay and tax liability.
  • Invoice - Breaks down all charges owed to Empeon that were incurred as a result of the processed payroll.
  • Agency Check Listing - Only applicable if there are agency checks, this report lists all checks and amounts that were sent to a third-party agency.
