About the Finance Section

The Finance section of the Reports tab provides tools for tracking payroll-related financial activity. This section centralizes key banking data into two dedicated dashboards: Bank Register and ACH Returns.

Each subsections functions as an ongoing dashboard of payroll-related transactions and can be filtered, grouped and exported much like a Live Report. The main difference is that the columns on these dashboards cannot be customized, so their content functions more like a Standard Report.

These dashboards are especially useful for reviewing payroll bank activity, confirming transmitted funds, and identifying any returned transfers that may require follow-up. By consolidating this information in one place, the Finance section provides real-time oversight of payroll financial activity.

Bank Register

What this Dashboard Covers:

The Bank Register dashboard shows all payroll-related transactions that move through the company’s bank account(s). This includes direct deposits, tax payments, agency remittances, reversals, and any other payroll debits or credits. The dashboard provides a consolidated view of payroll banking activity, helping ensure every transaction is visible and accounted for in real time.

When this Dashboard is Helpful:

  • Reviewing direct deposit totals and confirming funds were transmitted.
  • Reconciling payroll-related debits and credits against the company’s bank statement.
  • Tracking reversals or corrections tied to off-cycle or voided payrolls.
  • Verifying that tax and agency payments were withdrawn as expected.
  • Monitoring overall payroll cash flow to support accounting and financial reporting.

Understanding Each Column:

  • Entry Date - The date the transaction is entered into the register, either automatically on payroll processing day or manually by Empeon's tax/finance staff.
  • Process Number - A two digit code used to determine the purpose of the processed payroll. If it begins in a zero this is a standard processed payroll and the second number will refer to the order in which the payrolls were processed if there were multiple with the same check date. Any other number will indicate an Empeon ran process - such as quarter or year end tax processes. If you are wondering what the code may indicate, please reach out to Empeon Support for further clarification. 
  • Ledger Date - The check date associated with the transaction.
  • Check Number - If the transaction was handled via check, the corresponding check number will be listed here. If the payment was handled through ACH, this field will be blank.
  • Payee - Identifies the party the funds are routed to. For direct deposit, billing, or tax transfers, the payee will be the client’s company name. For Empeon trust checks, it will be the employee’s name. For agency payments, it will display the agency name, and for tax payments, it will display the tax agency name.
  • ID - Displays the identification code associated with the Payee. This is most commonly shown for tax agencies and third-party agencies to ensure payments are routed and recorded correctly.
  • Account - Lists the transfer type associated with the transaction, which will be one of the following: Direct Deposit, Paycheck, Tax, Agency, or (Empeon) Billing.
  • Type - Outlines whether the transaction was a Payment or a Transfer. A Payment represents funds from the client to Empeon, while a Transfer represents funds sent from Empeon to the final destination such as an agency, tax authority, or NatPay for direct deposits.
  • Status - Confirms whether the transaction has been cleared or not.
  • Payment - The transaction amount paid by the client.
  • Deposit - The transaction amount deposited to the final destination.

View Details:

Each line item includes a “View details” option in the three-dot menu on the far right, which provides a clear breakdown of the amounts associated with the transaction.

Often the amounts shown represent a total that includes multiple line items. Selecting “View details” will display each individual line item that makes up the total.

Related note: The Bank Register shows payroll transactions that have cleared or are scheduled to clear the company’s bank account. Returned items are covered separately in ACH Returns.

ACH Returns

What this Dashboard Covers:

The ACH Returns dashboard shows payroll transactions that were rejected or returned by the bank. This typically includes direct deposits that could not be completed due to issues such as closed accounts, invalid account numbers, or insufficient funds. The dashboard provides a single place to track returned transactions in real time, making it easier to resolve issues quickly and reissue payments when needed.

When this Dashboard is Helpful:

  • Identifying employees whose direct deposit failed and require follow-up.
  • Reviewing the reason codes provided by the bank for each returned item.
  • Reconciling returned transactions against payroll records to ensure accurate balances.
  • Monitoring trends in returned transactions that may point to recurring issues.

Understanding Each Column:

  • Return Date - The date when a return, correction, or non-sufficient funds (NSF) transaction occurred.
  • EE DD Returns - Employee direct deposit transactions that were returned by the bank.
  • EE DD Corrections - Employee direct deposit transactions flagged as incorrect but still successfully deposited by the bank using other identifying information on file.
  • EE Agency Returns - Agency payment transactions that were returned by the bank.
  • EE Agency Corrections - Agency payment transactions flagged as incorrect but still successfully deposited by the bank using other identifying information on file.
  • EE NSFs - Employee-related transactions that occur when a voided check triggers an attempted withdrawal of funds, but the transaction fails due to insufficient funds or the bank declining the withdrawal.
  • Co NSFs - Company-related transactions that failed due to insufficient funds when funds were being pulled from the company account, affecting any of the five transfer types (Direct Deposit, Paycheck, Tax, Agency, or Empeon Billing).
  • Others - A miscellaneous category for returned transactions that cannot be classified under any of the specific columns due to incomplete or missing details.
  • Totals - The combined total of all returned, corrected, or NSF transactions for the given return date.

View All:

At the top of the dashboard, next to where it says “ACH Returns”, a blue “View All” button is available. Selecting this option displays the full details of each returned transaction.

Reports Finance 5-1

  • EE# - The employee ID of the impacted employee, when applicable.
  • Entry Date - The date when the payroll was processed.
  • Processed On - The date when the return, correction, or non-sufficient funds (NSF) transaction occurred.
  • Code - A system-generated code that explains the reason for the transaction. Hovering over the code displays additional details that outlines the reason for the transaction.
  • Name - The name of the employee or agency tied to the transaction.
  • C/D - Indicates whether the transaction is a credit or debit. A credit is an attempt to deposit funds into an account, while a debit is an attempt to withdraw funds.
  • Amount - The dollar amount of the transaction. A value of $0.00 indicates a prenote or a correction where the transaction still processed.
  • Entry - Displays the bank account information originally tied to the transaction. 
    • ABA# - The routing number for the original bank account.
    • Account# - The account number for the original bank account.
    • Type - The type of the original bank account.
  • Resolution - Displays the corrected bank account information only when a transaction processes as a correction.
    • ABA# - The routing number for the corrected bank account.
    • Account# - The account number for the corrected bank account.
    • Type - The type of the corrected bank account.
  • NatPay Return ID - An internal tracking number assigned by Empeon.
  • Email Recipients - Lists the registered email recipients notified of the transaction. To add additional email recipients, please contact Empeon Customer Support.
