Overtime Conversion

Empeon Workforce automatically calculates overtime (OT) within the payroll batch when an employee's check reflects more than 40 regular hours worked within a given week. It's important to note that Empeon's OT calculation is set up using a WorkedOT Code Group that identifies the Earning Codes that should count toward OT. When new Earning Codes that need to be counted toward OT are added to Empeon Workforce, it is important to update the WorkedOT Code Group accordingly.

Overtime refers to any hours worked beyond the standard 40-hour work week. These extra hours are typically compensated at a higher pay rate of time and a half (Hourly Rate x 1.5). Organizations often have multiple Earning Codes that represent worked hours, which should also count toward overtime. These Earning Codes are applied to the system's OT calculation through use of a Code Group. This ensures that all applicable Earning Codes are applied toward OT, allowing the system to recognize when an OT conversion is necessary.

Based on the image above, a Payroll Administrator has entered 44 Regular worked hours and 2 hours of Training.

Since the Earning Code for Training is considered a worked hour that counts toward overtime, and is applied in WorkedOT Code Group, it will be included in the total hours for OT calculation. Therefore, Empeon Workforce recognizes that there are 6 hours of OT.

Code Group Maintenance

For any instance where a new Earning Code is added that is considered a worked hour that should count toward OT, the WorkedOT Code Group will need to be updated. Simply edit the Code Group to include the newly created earning.
