Rate Codes
Introduction
Empeon Workforce can accommodate organizations that offer additional rates when employees perform labor outside their primary position or department through the assignment of "Rate Codes" on their Employee Profile.
Rate Codes on their own are simply just codes set up on the company level that represent the additional rate being assigned to the employee. They are typically set up numerically (i.e. Rate 1, Rate 2, etc.) to reflect the number of additional rates an employee has once they are assigned. It is only when the Rate Code is assigned to an employee on their Employee Profile where further configuration is required to specify the additional rate and associate it with particular positions and/or departments.
This article explains how to view and create Rate Codes at the company level so they can be assigned to employees. For detailed instructions on setting up additional rates for employees through Rate Codes, refer to Empeon's article on Additional Rates.
Rate Codes
To view and create a Rate Code on the company level, navigate to the Payroll section within the Company tab and select the Earnings & Rates Card.
After selecting the Earnings & Rates Card, select the section for Rate Codes.
There should already be a few numerical Rate Codes setup along with the required "Base" code for the employees default rate like the image above. A unique numeric Rate Code has to be available for every active Additional Rate setup of an employee. Most organizations don't need more then a few Rate Codes setup on a company level, however when needed, additional Rate Codes can be added by clicking the blue "+ New Rate code" button.
When adding a Rate Code, apply the Code and Description. There is also a Rate code is explicit setting that is toggled on by default. Keeping the toggle on means that when applying the Rate Code on the employee's check in the Pay Entry batch, the check calculation will error if the same Rate Code isn't also setup in the Additional Rates section of the Employee's Profile. Empeon recommends leaving this toggle on for each Rate Code that is created, however if you need further guidance in the setting up of Rate Codes, reach out to Empeon Client Service for guidance.
