Employee Profile: Clock Settings
The Clock Settings Card within the Employee Profile is essential for customizing each employee's interaction with the time and attendance system. Once the company-level configurations of the attendance system are established, these settings help further define how individual employees engage with the system by specifying parameters such as punch methods and clock identification. Properly managing these settings ensures that employees use the time and attendance system correctly and effectively.
To view and maintain these settings, navigate to the Attendance section of the Employee Profile. The first Card within this section is the Clock Settings Card.
To view or edit the settings in this card, click the Edit button in the top-right corner. Below are the key settings available in the Clock Settings Card:
- Clock # - A unique ID number assigned to each employee, used specifically for logging into the time clock system to verify their identity and record punches.
- Card # - This field is applicable when the organization utilizes a time clock with a card reader attachment, allowing employees to clock in and out using ID cards or badges. Often there is a unique "Card Number" associated with each badge assigned to an employee.
- Clock Password - A unique clock password can be assigned to employees and registered within the time clock, allowing them to enter the password to verify their identity and proceed with punching. This serves as a great secondary option when other features used to clock in, like face scans or finger scans, aren’t functioning properly.
- Clock Manager - This setting is turned on to grant the employee access to the Admin Portal within the time clock, granting them access to be able to view and adjust the clock's configuration when needed.
- Exclude from Attendance - This setting should be turned on if the employee should NOT be included within the attendance system as someone who should be punching in and out to record their time.
- Allow Web Clock - This settings turns on the ability for the employee to be able to clock in and on using their ESS Hub.
- Allow Mobile Clock - This setting allows the employee to clock in and out via their mobile device, whether through the ESS Hub on their phone’s web browser or through Empeon’s mobile ESS app.
- Allow Missing Punch - When this is toggled on, the system will allow the time card to be submitted even if there are missing punches. In most cases, this toggle is turned off, ensuring that missing punches are flagged within the Punch Review section and, if not corrected, prevent the time card from being submitted to payroll.
- Allow Manual Punches - This setting is the second part of a two-step process for granting employees the ability to manually enter and edit punches within their ESS Time Card. First, within the Attendance Settings Card, the "Allow Manual Punches" option must be enabled to add this feature to the time and attendance system The matching setting within the Employee Profile is how individual access to this feature is granted. Please note, that if manual punches are enabled for an employee, it will override any previous permissions allowing them to request Missing Punches through Empeon's Request & Approvals feature.
- PBJ Employee ID - This field is applicable only for organizations required to perform PBJ reporting. The PBJ Employee ID serves as a unique identifier for the employee within the PBJ reports, distinguishing them from others in the data submitted.
- PBJ Employee Type - This field indicates whether the employee is classified as Exempt (salaried), Non-Exempt (hourly), or Contract (agency) for PBJ reporting purposes. Accurate classification is essential for compliance and effective reporting to CMS.
