Employee Profile: Additional Rates

Introduction

For some organizations, hourly employees may receive additional rates for labor performed in multiple positions or departments. An example of this could be a Registered Nurse who occasionally fills in as the Team's Supervisor, receiving a higher rate for the supervisory role. For these types of employees, additional rates can be assigned on their Employee Profile and configured to apply whenever labor is performed in the different positions or departments.

Assigning Additional Rates

To assign an employee an additional rate, navigate to the navigate to Payroll section of their Employee Profile and select Additional Rates.

Click the blue 'plus' sign in the top right corner of the card to add an Additional Rates condition. If no additional rates are set up like the image above, this can also be facilitated by clicking the grey bar that says "+ Add Additional Rates". 

When setting up an additional rate for an employee, a setup window will display with the following fields:

  • Rate Code - When adding an additional rate, Empeon Workforce requires assigning a Rate Code. Rate Codes serve as identifiers for the additional rates and are typically formatted numerically (e.g., Rate 1, Rate 2) to indicate the different rates an employee may have. In order for Rate Codes to be available within the dropdown for this field, they must first be set up at the company level.   • Rate/Rate Per - Identify the rate amount and criteria for how it will be applied. The "Rate Per" field is for informational purposes only.
  • Allocated To - This section is an important part of an Additional Rates setup as this is how the Rate Code being applied is configured to associate the rate with where the labor is being performed. This section displays the Cost Centers (i.e. Department, Position, Location, etc.) where Administrators can define under what labor circumstance the Additional Rate should apply. Per the image below, Registered Nurse (RN) Melissa is applied a $50.00 rate, only when working as an RN Supervisor (RNS) in the Upstate NY Location (Upstate NY). Because this section is configured this way, when hours are record for Melissa under this Position AND Location, the rate of $50.00 will be applied instead of her base rate.

Additional Rates Applied in Payroll

Workforce's logic for applying different rates by labor is that the Cost Center(s) identified on the Timecard or Pay Entry match the Allocated To condition setup in the Additional Rates. Therefore, per the Pay Entry example image below, because the Additional Rate has Position "RNS" and Location "Upstate NY" included in the condition, the system is only applying the $50.00 rate when those same identifiers are applied on the check. The 8 hours recorded as an "RNS" without a specified location are still being paid to Melissa at her Base rate.
