Exclude Specific Earning Code Hours from Totals
Clients can now set specific earning codes to exclude the hours from totals. This feature is particularly useful for earning codes such as shift differentials, where you want the hours to be calculated for pay purposes but not included in the total hours. Prior to this release, you were only able to exclude the hours from the totals on the paystubs. Now you can can exclude the hours from the totals throughout the system.
This setting is found under Company > Payroll > Earnings & Rates. When adding a new earning code, you will find the setting to “Exclude From Total Hours on paystub”. Toggling this on will also make available the setting to “Exclude (the earning code) from total hours on pay history and reports” as well.
Company Grouping
Clients can now group and categorize their companies. This enhancement is especially beneficial for clients managing multiple companies or facilities, providing a more organized and efficient way to manage your operations. For example, Skilled Nursing Facility (SNF) clients can group their facilities by region, and Backoffice SNF providers can group the facilities by operator.
Key Benefits:
Grouped Company Lists: Once you group your companies, the company lists throughout the system will be displayed in a grouped format, making it easier to navigate and manage your companies.
Filter Your Company List The company navigator now includes the ability to filter the company list by group, allowing for quick access to the companies within a specific group.
Live Reports: Company Groups can be added as a column when running Live Reports, providing additional insights and organization to your reports. Look for "Co Groups" under the Company column in the Available Columns section.
To assign companies to groups, navigate to Organization Master Portal > Companies and click on the edit pencil for any selected company.
Please Note! Only organization users have the ability to manage company groups.
TaxMap Updates
Managing multi-state and local tax withholdings can be a challenging task. The TaxMap feature is designed to automate this process. In this release we have introduced the following updates to this feature:
Secondary Location Address for Tax Purposes
When determining the work location for tax purposes, the system uses the employee's location (found under the Job Info card). However, in some scenarios, the actual work location is not the location used for tax purposes. For example, in Pennsylvania, under certain circumstances, the employer can establish one location as the location for local tax purposes. With this release, we have introduced the option to enter a secondary address in the company location codes for tax purposes. Note! This additional feature is off by default. Contact your support team if this is applicable to you.
Enhanced Address Validation In the New Hire Form
For clients utilizing the Empeon TaxMap feature, the system now prompts users for address corrections immediately when entering the address on the new hire form, instead of waiting until attempting to save the new hire.
General Ledger (GL) Updates
Corporation Name in GL Files
For 1099 contractors, if a corporation name is populated in the system, the corporation name will now be included in the General Ledger (GL) file instead of the contractor's name. This enhancement ensures more accurate and relevant financial reporting for businesses working with corporate contractors.
Enhanced Flexibility for GL Reporting with Expense Post Date
Clients now have the flexibility to run the General Ledger (GL) report based on the expense post date instead of the check date, whenever they want, even retroactively. This enhancement builds on the existing option available during the payroll process, allowing for more accurate reporting based on specific month's pay, regardless of when the report is run.
For clients who are not splitting their GL by month, we have added the option to post on batch and check period end date.
Reports Updates
Enhanced Pay History Reports with Cost Center Descriptions
We've updated our pay history live reports to include cost center descriptions in addition to cost center codes, providing a more detailed and user-friendly view of pay details.
Scheduled Reports for Multiple Companies
Previously, users could run reports for multiple companies at once, but not as a scheduled report. With this release, we have extended this capability to scheduled reports as well, allowing for greater automation and efficiency. Please note that this functionality is currently available only for FTP delivery.
Check Printing Enhancements
Enhanced Manual Checks Format for Consistency and Clarity
In this release, we've improved the layout and format of our Manual Checks feature to streamline issuing checks outside the regular payroll cycle. These enhancements align the appearance of manual checks with our standard checks, ensuring a consistent and clear presentation.
Key improvements include:
- Uniform Layout: The design of manual checks now matches that of standard payroll checks for a cohesive look.
- Detailed Stub Information: We've expanded the capability to print attendance and visit details on the stub of a manual check. Previously, this level of detail was only available for regular cycle payroll checks, enhancing transparency for employees.
- Speed: We've optimized the process to ensure that manual checks are generated more quickly,
Print Checks with QuickBooks Check Stock
Clients can now print checks using QuickBooks check stock, enhancing flexibility and convenience in the check printing process. This feature is available for reprinting checks, issuing manual checks, or for clients enrolled in our self-print service.
Enhanced Flexibility for Approving Reimbursement Requests
Previously, only users with a security role that allowed access to payroll processing could review and approve employee reimbursement requests. Now, clients can enable a security role to approve reimbursement requests, even if the role does not have access to payroll. This enhancement offers more flexibility in managing reimbursement requests and allows for a more streamlined approval process, ensuring that reimbursements are handled efficiently without requiring access to sensitive payroll information.
The permission is called "Review Reimbursement request" and is found in Roles under the Actions tab.
Payroll & Time Entry Auto Save
In the 'My Preferences' settings, users can enable the option to automatically save check entries in payroll, eliminating the need to repeatedly click 'Save Check' during batch entry. With this release, we've extended this feature to time card entries as well, removing the need to click 'Save Timecard' each time.
Download Current Time Cards
In an employee's timecard, users can download the time card. Previously, this option was available only for historical time cards that had been processed. With this update, you can now download current time cards as well.
New Report: Employee Clock Enrolled
We've introduced a new report that provides details on which employees are enrolled in a time clock and their enrollment type (Face, Fingerprint, etc.). This report allows clients to track which employees are enrolled in the time clock and which are not.
You can find the report under Reports > Live Reports > Attendance > Employee Clock Enrollment.
Collapse Navigation
Users now have the option to collapse the left-hand navigation bar, providing more screen space for a clearer view of your tasks and information. This added flexibility helps streamline your workflow and enhances your overall experience with the system.
Inactive Accrual Bank Indicator
Now when an accrual bank has been deactivated on the company level, in addition to the accrual policy being no longer active, there will also be an indicator on the employee's accrual bank showing that it is inactive.
Job Info & Cost Centers Mapping
Clients can now clearly see which if their company Job Info levels are mapped to which payroll Cost Center level.
