Scheduling Updates
Posting Open Shifts - Option to Exclude Approaching Overtime
With this release, when posting an open shift for employees to grab, the scheduler can choose to exclude employees nearing overtime. If selected, these employees will not be notified or see the shift, preventing unintended overtime.
Callout with PTO
Now, when marking an employee as Called out, the scheduler can choose between an unpaid call-out or a call-out with paid time off (PTO). Previously, only unpaid call-outs were available. This new option provides more flexibility in managing employee call-outs.
Multi-Floor Shift Assignment and Budgeting Enhancement
With this update, a single shift can now be assigned to multiple floors/units. If the shift budget is calculated based on Hours Per Patient Day (HPPD), the budget will be determined by the total census of all floors included in the shift. This feature is particularly useful for Senior Care Facilities where employees work on multiple floors during one shift. For example, a facility with two floors might have nurses (RNs) working the night shift on both floors, and this feature allows the management to budget for both floors combined.
Post Open Shifts from Daily View
In the previous release, we introduced the new "Daily View" for managing the daily schedule. With this release, we have added the ability to post open shifts to employees directly from the Daily View. Prior to this release, posting shifts was only available through the "Shifts View."
Copy Shifts
Users can now easily copy shifts from one company to another, streamlining the scheduling process for those who manage multiple facilities with similar shift patterns. This feature eliminates the need to set up identical shifts in each facility separately, saving time and effort.
To copy a shift, go to Company > Scheduling > Shifts, and then locate the desired shift. From there, click on the three-dot menu, and then select "Copy to another company".
Option to Disable Automatic Census Carryover
To manage shift budgets effectively, which depend on Hours Per Patient Day (HPPD), clients maintain the daily census in Empeon. By default, when setting the census for a day, it automatically carries forward to future dates. However, upon client request, we've added a setting that determines whether the census should automatically carry over to future dates. This feature ensures that clients can accurately maintain the correct census for each day.
The setting can be found on Company > Scheduling > Scheduling Rules > Auto Calculate Census.
Enhanced PTO Accruals: Tailored Flexibility for NY Homecare Clients
We've made significant enhancements to our PTO accruals module, focusing on the correlation between policies based on hours and those based on dollars. This update allows for a more seamless integration when both types of policies are linked to the same earning codes for reduction, ensuring that each policy is appropriately reduced.
This update is particularly tailored for our New York Homecare Clients using Empeon to calculate and track Wage Parity. It offers greater flexibility, allowing you to have separate policies for managing the accruals for the NYC sick law and tracking the Wage Parity dollars. With this enhanced separation, you can apply different rules to each bank, providing a solution that meets the unique needs of your organization.
SSN Verification
This update introduces a Social Security Number (SSN) Verification feature. It enables the verification of employees' names, SSNs, and dates of birth (DOBs) against Social Security Administration (SSA) records through the Social Security Number Verification Service (SSNVS).
With this feature, clients can generate SSNVS upload files and then import the SSNVS results into Empeon, allowing the verification results within the platform.
To access this feature, go to Organization Master Portal > SSN Verification.
Please Note! Only Company Admins and up have access to this feature.
Copy Accrual Policies
Admins can now copy accrual policies from one company to another. If the destination company lacks certain settings required for the policy, the policy will be copied as a Draft. The administrator can then access the policy to complete the setup. If all necessary settings exist in the destination company, the policy will be copied as Active.
To copy an accrual policy, navigate to Company > Benefits > Accruals, and locate the desired policy. Then click on the three-dot menu and select "Copy to another company".
Enhanced Closed Time Card Adjustment Permissions
This update introduces more precise control for administrators over closed time card adjustments. Within the Organization Portal, under Roles > Edit Role, admins can now specify whether a role has the ability to adjust closed time cards and include those adjustments in payroll, or simply make adjustments without affecting payroll.
1099 Corporation Name and TIN
Users can now manage the 1099 Corporation Name and TIN for 1099 contractors. These new fields are accessible when adding a new contractor or editing the information of an existing contractor. For editing an existing contractor, these new fields are located under the "Personal card."
When used, the Corporation Name will appear on payroll checks/stubs and 1099 forms (instead of the contractor name), and the TIN will be printed on the 1099 form instead of the SSN.
Misc. Items
Adding a New 1099 Contractor
Now, when adding a new 1099 contractor to the system, users will no longer be prompted to enter an "ACA Type".
Attendance Reports Date Range
Enhanced the date range options for attendance related reports. Now users can select to run the report for two or three days ago.
Duplicate active deduction codes no loner allowed in employee's profile
With this release, we've implemented validations that prevent users from adding duplicate overlapping deduction codes to an employee's profile.
"New Hire" Event in Benefits Enrollment
We've added the "New Hire" event as an option in benefits enrollments.
Importing New Hires: Default to Single 0
Now, when importing new hires, if the tax filing status and exemption are empty, the system will import the employees as 'Single 0'. Prior to this release, those records would encounter errors.
New Agency Employee Form Customization
Users can now add the Licenses/Certificates card to the "New Agency Employee" form.
