Additional Rates

For some organizations, hourly employees may receive Additional Rates for labor performed in multiple positions or departments. An example of this could be a Registered Nurse who occasionally fills in as the Team's Supervisor and receives a higher pay rate for when they do.

In Empeon Workforce, additional rates can be assigned on the Employee Profile using a Rate Code, and configured to apply when labor is performed in a specific Cost Center, such as a Position or Department.

Assigning Additional Rates

To assign an employee an additional rate, navigate to the navigate to Payroll section of their Employee Profile and select Additional Rates.

Click the blue "+" sign in the top right corner of the card to add an additional rate for the employee. If no additional rates are set up like the image above, this can also be facilitated by clicking the grey bar that says "+ Add Additional Rates". 

When setting up an additional rate for an employee, a setup window will display with the following fields:
  • Rate Code - When adding an additional rate, Empeon Workforce requires assigning a Rate Code. Rate Codes serve as identifiers for the additional rates and are typically formatted numerically (e.g., Rate 1, Rate 2) to indicate the different rates an employee may have. In order for Rate Codes to be available within the dropdown for this field, they must first be set up at the company-level. 
  • Rate/Rate Per - Identify the rate amount and criteria for how it will be applied. The "Rate Per" field is for informational purposes only.
  • Allocated To - This section is an important part of setting up an additional rate because this is what configures the rate to be associated with where the labor is being performed.

    In the example shown in the screenshot, Melissa is a Registered Nurse (RN) with a default rate of $42.00. Occasionally she will fill in as the RN Supervisor at the Upstate NY office and when she does, she is eligible for an increased pay rate of $50.00. Therefore with this setup, when hours are recorded for Melissa and allocated toward both the RNS position AND Upstate NY location, the rate of $50.00 will be applied automatically for those hours instead of her base rate.

    Additionally, it's important to note in this example that both conditions need to be met. Should Melissa work as the RNS in a different location, the system will not apply the additional rate since the location is not the Upstate NY office.

How Additional Rates are applied in Payroll

Once an additional rate is set up on the Employee Profile, Empeon Workforce will automatically apply the rate to a paycheck if the conditions specified for the rate are met within Pay Entry.

Please note the example below based on the additional rate that was set up for Melissa. Because the additional rate set up for her has both the RNS position and Upstate NY location defined within its parameters, the system will only apply the additional rate when both are specified within Pay Entry. That is why within the screenshot, the 8 hours recorded only for the RNS position are still being paid at her base rate.
